BOOKING POLICY

Policy definitions

 

‘We’, ‘us’ and ‘our’ mean Reign x Shine Ltd, 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.

 

"You" and ‘your’, refers to the person(s) using this website and booking a place on the retreat.

Acceptance

 

  • By Booking with us, you hereby accept the Reign x Shine Booking Policy (“this Policy”) and the following terms and conditions related to your booking.

  • This Policy is incorporated into and forms part of the Reign x Shine Terms of Use that you agree to while using this site. 

 

Bookings

​

  • You will make only legitimate bookings in good faith for use by you and your invited guests only, and not for any other purposes.

  • No contract will exist between you and us in respect of any services or products offered through our site unless and until we accept your booking with an email confirmation. Any such contract shall be deemed to incorporate the terms and conditions of booking as contained in this Policy.

  • The confirmation e-mail will be sent to you once we have received either your deposit or the full fee, depending on your choice of payment method, in our bank account. 

  • We reserve the right to obtain validation of your credit card, debit card or any information regarding the form used for booking the retreat, before reserving your place.

  • It is your responsibility to inform Reign x Shine before your arrival of any allergies or other dietary requirements by completing the booking form accurately. It is also your responsibility to inform Reign x Shine of any medical changes that may be relevant to your time at the retreat.

  • In the event that a guest books the Double Occupancy package, with the intention of sharing with a second guest, Reign x Shine will provisionally hold a space for the second guest for two working days. If the second guest fails to pay a deposit or full payment by 5pm GMT on the third working day, the places for both the first and second guest will be released to general sale. We would strongly suggest guests who intend to share a room book their places at the same time.

  • Please be aware that the itinerary, activities and trainers are subject to change. These changes can happen with little notice due to availability, poor weather, seasonal changes, or other circumstances beyond our control – however, we’ll always do our best to ensure it has little impact on your experience.

  • From time to time, we may also make changes to your itinerary to try out new ideas and keep things fresh and exciting.

 

Payments

  • The price payable for the Reign x Shine retreat is displayed on our site.

  • We accept all credit and debit cards. Please check our website for details.

  • By entering your payment details, you confirm that the payment details belong to you. All credit and debit cardholders are subject to validation checks and authorisation by the card issuer. If your card issuer refuses to authorise payment, we will not be able to process your booking.

  • Prices are subject to change without notice but such changes will not affect bookings that have already been confirmed by us.

  • You will be required to settle all extras, not included in the retreat package, by credit card, debit card or cash.

  • We take all reasonable care to ensure that our website is secure and to ensure that it is not possible for any third party to access your payment or other personal information. However, we cannot be held liable in the event that any third party obtains personal data or information in an unauthorised manner, unless due to our own negligence.

 

Payment plans

 

  • Deposits for all retreats are non-refundable

  • If you opt to pay for the retreat using our payment plan option, subsequent payments will be taken from the payment card on a monthly basis until the full balance has been paid.

  • In any event, the full ticket price should be received by Reign x Shine 4 weeks before the relevant retreat.

  • Should you fail to pay the full retreat fee by this time, Reign x Shine reserves the right to cancel the booking entirely, in which case the retreat fee will not be refunded.

 

General cancellations

 

  • Please contact us by email at info@reignxshine.com if you would like to cancel your booking. Cancellation shall not take effect until the notice is received by us. 

  • We will not charge any service fees for amended or cancelled bookings.

  • Generally, bookings are non-refundable, however, if your trip is postponed due to COVID related travel restrictions, you can reschedule to a different date, receive a credit note or a full refund. Please see below for our COVID policy.

  • Except for our COVID policy, refunds are only considered on major cancellation, material alteration or by special exception determined by Reign x Shine in its sole discretion.

  • For the purposes of this Policy:

    • ‘major cancellation’ is the cancellation of the retreat in full (and not rescheduled). If only one or more days (but not all days) of the retreat are cancelled, you may only be offered a proportionate partial refund;

    • ‘material alteration’ is a change (other than a rescheduling) which, in Reign x Shine’s opinion, makes the retreat materially different to the retreat that potential guests could reasonably expect. Please note that the following are not deemed to be ‘material alterations’: changes to the experts joining us on the retreat; adverse weather conditions; limitation of the retreat where the majority of the retreat goes ahead as scheduled; and delays to starting the performance of the retreat; and

    • ‘special exception’ is an exception determined by Reign x Shine in its sole discretion.

  • Refunds should be requested from the point of purchase, no later than three months after the retreat.

  • If you do not arrive at the retreat, this is usually deemed to be a cancellation by you and no refund will be payable to you.

 

COVID pandemic cancellations

​

If local legislation requires all guests to quarantine for more than two days during the proposed retreat, or there are restrictions on travel due to the COVID pandemic, we will postpone the trip and promptly communicate with you.

​

If your trip is officially cancelled due to the COVID pandemic, you may:

  • Reschedule your retreat to a different date.

  • Receive a credit note.

  • Receive a full refund of the balances paid towards the trip after your deposit was paid. Your deposit can be put as a credit towards a future Reign x Shine retreat.

 

COVID precautions

​

Before the trip:

  • All travellers will be required to submit a negative COVID-19 PCR test within 72 hours of their departure date.

  • The Reign x Shine team will also be required to submit a negative COVID-19 test 72 hours prior to guest arrival.

  • Guests are responsible for all COVID testing costs and must be prepared to show test results to any parties that require them on the retreats including, but not limited to, airlines and other suppliers.

  • Vaccinations may be required for some destinations depending on the country you are travelling to. Vaccination requirements are subject to change based on government requirements and safety guidelines. Guests are responsible for ensuring they know the government requirements and adhere to all relevant legislation.

 

During the trip:​

  • We will be following all relevant legislation at the time of the retreat. As it stands, mask - wearing will not be mandated privately amongst the retreat group. However, we ask that all guests wear masks while out in the company of anyone that is not a part of the group.

  • Reign x Shine will provide mini sanitation kits upon arrival

  • You acknowledge that itineraries are subject to changes, as appropriate. 

 

Your responsibilities

 

  • You should consult with a physician before participating in physical activity.

  • You will be expected to complete a Physical Activity Readiness Questionnaire & Consent Form prior to your attendance at the retreat. You agree to comply with all reasonable requests by us to confirm your physical capabilities. 

  • You acknowledge that a certain minimum level of physical health, strength, fitness, and flexibility may be required and you represent that you possess the level of health, strength, fitness, and flexibility necessary to participate in the activities on the retreat. It is your responsibility to inform us in writing of any health issues that may make it unsuitable for you to participate in activities on the retreat.

  • You acknowledge that you have voluntarily chosen to participate in the retreat activities and that you are aware that participation involves some level of risk. These risks include but are not limited to physical injury or even death. By attending any physical activity provided on our retreat, you agree to assume these risks and agree to release and discharge us, our employees and agents from any and all claims for liability.

  • You must refrain from any illegal act or any conduct which may cause offence, danger or damage to any person. If we become aware of any such action. We reserve the right to have you immediately extracted from any retreat property or facility, and cancel your place on the retreat without refund. We will have no liability to you in such circumstances.

  • Neither Reign x Shine nor any of its directors, employees or agents will be liable for any loss or damage to any personal property belonging to you during the course of the retreat.

  • None of the exclusions and limitations in these conditions are intended to limit any rights you may have under statute or common law, which may not be excluded. Moreover, none of the exclusions and limitations in these conditions exclude or limit liability to you for personal injury or death resulting from Reign x Shine’s negligence; nor for any liability incurred as a result of fraud or fraudulent misrepresentation by Reign x Shine.

 

Travel Insurance

​

  • You are responsible for checking all passport, visa and health requirements and ensuring your travel documents are in order.

  • You must ensure you have appropriate personal travel insurance that covers trip cancellation and interruptions. Your personal travel insurance provides protection for the full duration of the trip in respect of at least medical expenses, injury, death, repatriation, cancellation and curtailment.                            

  • You must ensure that all travel insurance purchased meets your particular personal requirements and you should arrange supplementary insurance if necessary.        

  • We will not be liable for any loss you incur if you are able to claim for said losses under your travel insurance policy.        

  • You are required to carry proof of insurance with you on the retreat and produce it if reasonably requested by us or our suppliers. Failure to carry proof of insurance may result in you being prevented from participating in certain activities without the right to any refund. 

 

Force majeure

 

Refunds will not be issued for any major cancellation if the cancellation results from events or circumstances beyond our reasonable control, including but not limited to acts of God, strikes, lock outs, accidents, war, fire, flood or industrial disputes, and We shall be entitled to a reasonable extension of our obligations.                 

                        

Third Party Rights  

         

No one other than a party to this agreement, their successors and permitted assignees, shall have any right to enforce any of the terms of this agreement, including under the Contracts (Rights of Third Parties) Act 1999.

Law and jurisdiction

​

This Policy, and the terms and conditions contained herein, shall be governed in accordance with the laws of England and Wales.
